The welcome table is the first thing your guests see, and it does more work than almost any other part of the day. It tells people where they are, who they are celebrating and what the evening will feel like. It is also the most forgiving place to spend a small budget.
What belongs on a welcome table
- A sign, either on the table or on an easel beside it.
- A guest book or a place for notes, if you want one.
- A photo of the couple, framed.
- A few candles in different heights.
- Flowers, either in vases or a single arrangement.
- Something to hold place cards or favors, if applicable.
Three arrangements that work
The symmetrical table
A pair of matching candlesticks on each end, a bud vase on each side of the sign, and a photograph in the center. It is traditional, it photographs well and it is nearly impossible to get wrong.
The layered table
Use risers or pedestals to create height, then add candles and small vases at different levels. Stack a few books under a framed photo. The eye travels instead of landing.
The easel and table
Put the sign on an easel beside the table, and let the table hold candles, flowers and the guest book. It frees the table for use and puts the message at eye level.

Practical details
- Place the table near the entrance but not in the doorway.
- Plan for wind if it is outdoors: weighted candleholders and a heavy sign base.
- Put a pen on a string for the guest book, so it does not wander.
- Assign someone to move it to the reception if it should travel.
Our Wedding Welcome Table Collection bundles the sign, easel, linen, candlesticks, vases and a dried arrangement into one reservation. Add your own lettering and flowers and you are done.
